How a suburban Brisbane dental practice added 291 reviews in 90 days

The 90-day picture

8-year-old general dental practice, suburban Brisbane. Started: 198 reviews, 4.7★. After 90 days: 489 reviews, 4.9★. +291 reviews at sustained 3.2/day velocity. 14 negatives caught privately via the resolution flow. New-patient enquiries lifted 1.7× by month three.

The starting point

The practice owner had been running the clinic for eight years and had accumulated 198 Google reviews — earned slowly, one happy patient at a time. The rating was a solid 4.7. But the recents page told a different story: most reviews were 18+ months old, with a couple of 2-stars in the visible top 3 from a frustrated orthodontic follow-up six months prior.

The practice manager reported new-patient enquiries had plateaued for the past year. The local pack had been quietly stolen by a 2-year-old competitor practice 800 metres down the road with 320 reviews — fewer in total but mostly recent.

Days 1–14: setup

Integration with the practice's PMS (Dentrix) completed in week one. The X18 team mapped appointment types to review-ask cohorts: standard check-ups routed to the next-day window, restorations to a 5-day window, orthodontic adjustments to a 2-week window. Mental-health-flagged patients, anyone in active complaint resolution, and paediatric routine visits excluded entirely.

First review requests landed on day eight. The message read as if from the principal dentist — patients responded within hours of receiving it.

Days 15–45: first 100 new reviews

The morning huddle started reading new reviews aloud. The team noticed the climate shift before the rankings did — positive reinforcement, by repetition, every shift.

The private-resolution flow caught its first 6 below-3-star issues in this window. Each was a phone call from the practice manager: a follow-up appointment, a clarifying conversation, in one case a partial refund. None ended up posting publicly. The rating climbed to 4.8.

Days 46–90: the local pack rebalance

Google's local pack updated meaningfully between weeks 7 and 9. The practice moved from position 5 to position 2 in the local pack for the primary "dentist [suburb]" search. New-patient online bookings climbed week-over-week: 16 in week 7, 22 in week 9, 28 in week 12 — roughly 1.7× the pre-platform baseline.

By day 90 the practice had reached 489 reviews at 4.9★ — past the competitor's 320 — with 14 negatives caught privately along the way.
